Cancellation Notice

Clients are required to provide at least 24 hours’ notice for any appointment cancellation or rescheduling.

Cancellations can be made by:

• Email
• Telephone

Late Cancellations & Missed Appointments

Appointments cancelled with less than 24 hours’ notice, as well as missed appointments (“no-shows”), will be charged the full session fee.

This policy applies once the informed consent has been reviewed and signed during the first appointment.

First Appointment Exception

We understand that beginning therapy can feel overwhelming. For this reason, cancellation fees are not charged for initial appointments, including late cancellations or missed first sessions.

During the first session, the therapist will review the clinic’s consent and cancellation policies to ensure they are clearly understood before any cancellation fees are applied in future appointments.

Exceptional Circumstances

We recognize that emergencies can happen. Exceptions may be considered in situations such as:

• Medical emergencies
• Hospitalization
• Serious unforeseen circumstances

The final decision regarding cancellation fee exceptions remains at the discretion of the treating professional.

Telehealth Appointments

For virtual sessions:

• Clients are asked to join on time.
• A maximum delay of 10 minutes is permitted.
• Sessions ending later due to late arrival cannot be extended beyond the scheduled appointment time.

In cases of technical difficulties, the treating professional will determine whether the session can continue, be rescheduled, or modified depending on the situation.

Insurance and Covered Programs

This cancellation policy applies equally to clients covered through:

• Private insurance
• CNESST
• IVAC
• MEDAVIE Blue Cross
• SAAQ

Please note that cancellation or missed appointment fees are generally not reimbursed by insurance providers or public programs.
